Chapter I: Introduction

[ » ] What is Parent-Teacher Association (PTA)
The Parent-Teacher Association is a volunteer organization that includes parents, students and teachers.
The duty of this Association is to consolidate the communication between all different members of our school
society; to promote and support School’s Mission and to present all needed support to School’s Administration to
enable us all to achieve our School’s objectives and to strengthen the Family/School relationship.

Chapter II: Objectives

[ » ] PTA Objectives
- Consolidate the communication and harmony between school and parents to reach what is in the best interest of students and school.
- Consolidate parents’ cooperation and obtain their approval and support to our school’s objectives.
- Convey parents’ opinions and suggestions to the school director and work on implementing them when convenient, provided it is presented as a written memo addressed to the school administration and copied to the administration board.
- Observe a regular communication between school and parents always aiming the school’s best interest.
- Contribute in curriculum development and present constructive suggestions to school administration to serve school’s educational mission.

Chapter III: PTA membership
|
[ » ] Type of membership
- Administration board members: president, vice-president, Heads of committees.
- Active members of the various committees with a maximum of 5 members per committee.
- Honor members granted a membership for all financial and moral support they provided to PTA.

- Administration board 2 years
- Active members 1 year
- Honor members 2 years

[ » ] Terms and Conditions of membership
Members applying for memberships:
- Must be parents of a student in school.
- Must be bilingual (Arabic and English).
- Must not be a school teacher.
- Must not be a member of another volunteer association if joining administration board.
- Must possess the will and commitment for hard positive contribution.

Chapter IV: Membership Procedures

[ » ] Submitting application
At the beginning of the school year, all parents will receive an invitation letter to apply for membership. The application must be submitted within the next two weeks.

[ » ] Selection of members
A selection committee is formed of the vice-president of the association and two other committee members (one of those two must be Head of one of the committees from the beginning of the year). This selection committee will sort nominees and will study renewal of previous active memberships. Terms and conditions of membership must be observed while sorting and selecting. Final selected list must be presented to President for recommendations and final approval. It is recommended to have two substitute nominees.

[ » ] Renewal of previous active memberships
The committee will decide on renewal of previous active memberships according to the evaluation of member’s participation during the membership time. Members will be notified.

[ » ] Notifying a member
Members are notified in written of their selection within two weeks from deadline for receiving applications.

[ » ] Members lists and numbers
Members will not exceed twelve active members (four in each committee). Administration Board will consist of five members as follows:
- President
- vice-president
- Head of Financial Committee
- Head of Cultural Committee
- Head of Social Committee

[ » ] Cancellation of membership
Membership is automatically cancelled for members not attending three consecutive meetings without excuse.

Chapter V: Membership of School Administration and Faculties
|
|
[ » ] Membership of School Administration
School Director and Principals are members on the basis of the title, but they cannot participate in voting.
|
|
[ » ] Applying for membership
PTA will send a written invitation to all faculty members inviting them to participate to PTA. Applications will be submitted within two weeks.

[ » ] Selecting new members
The School Administration represented by the principal of each division will receive the applications and form a committee (including the oldest working teacher in the division and the social worker in the division). They will study applications and select three of them to present them to the PTA board within two weeks. PTA will present selected candidates to the PTA selecting committee to select one member within a week. This applies to all divisions.

The selected member is notified in written of acceptance within two weeks of submitting applications deadline.

Membership is automatically cancelled for members not attending three consecutive meetings without excuse.

Chapter VI: Students Membership
|
[ » ] Student Participation
Three students are selected to participate in PTA as follows:
- One student from NHS
- One student from students’ board in HS
- One student from MS

[ » ] Membership conditions
- Part of previously mentioned groups.
- Recommended by a PTA member (by signature).
- Recommended by a faculty member (by signature).
- Recommended by his Principal (by signature).
- Present a one page essay explaining what he expects to achieve as a member of PTA.

[ » ] Selection of members
- All applications are submitted to concerned committee for review and recommendation. They are then raised to the President for final decision.
- The student is notified in written of his/her acceptance within two weeks of submitting applications deadline.

Chapter VIII: PTA Board membership
|
[ » ] President and Vice-President
Rule (1):
Members wishing to nominate themselves for these positions should apply in the first meeting provided they meet the following prerequisites:
- Have spent at least two consecutive years as a PTA member.
- All conditions mentioned in Chapter III – Clause C should apply to nominee.
- Have strong leadership skills such as initiative, decision taking and communication.
- Respect and support of all PTA members.
- Capable of achieving required control tasks and managing the work in PTA.
- Must not be a board member of any other voluntary organization.
Rule (2):
Nominee meeting all above mentioned prerequisites will have to pronounce a speech stating all the achievements he accomplished during his membership in PTA.
Rule (3):
Members will then start voting, and the nominee with the majority of votes gets the Presidents seat.
Rule (4):
All the steps from rules (1), (2) and (3) will be repeated for the position of vice-president.

[ » ] Head of committee
The PTA president will nominate the Head of each committee should rule (1) and (2) apply to him/her.

Chapter VIII: Member’s commitments
|
[ » ] Regulations
The contribution of each member is the main element that affects the final evaluation of that member in all the services
that he renders to the association. Therefore the following should be observed:
- Show a good honest will in hard and effective contribution to the work in PTA.
- Work on achieving the association’s objectives and avoid all that might negatively affect the PTA.
- Commit to the PTA system and rules, as well as any decision taken.
- Attendance of all PTA meetings through out the year as scheduled in the beginning of the year.
- In case of excuse, the PTA secretary should be informed in written or by fax stating the reason of absence.
- Update all the personal data as soon as changed.
- Member should not take decisions in his committee without prior approval of the president.
- Member should not act in the name of PTA at school without prior approval of the president.
- Each member will present a report to the head of his committee, who in his turn will present a report to the president about his committee’s achievements.

Chapter IX: Functions of PTA’s Board
|
[ » ] First: Functions of the President
- Direct the PTA meetings, schedule them, approve and sign the minutes.
- Schedule the agenda for the minutes.
- Approve and sign all correspondences to school administration.
- Approve all PTA internal and external correspondences.
- Control the work in PTA and observe the implementation of the decisions taken.
- Deal with urgent matters and take all needed decisions if not on agenda.
- Represent the PTA at the Board of Trustees or any other official meeting.
- Sign all financial expenses with the Head of Financial committee.
- Manage a permanent amount of KD 150, - in Petit-cash (against receipts).
- Review all the Head of committee reports and take necessary actions.
- Select the students/members as per criteria.
- Select Head of committees as per criteria.
- Take final resolutions concerning members’ resignations and all related decisions.
- Manage PTA funds to achieve all set objectives and targets.

[ » ] Second: Functions of Vice-President
- Contributes with President to achieve objectives and targets.
- Replaces President in all above mentioned functions in case of travel or absence.

[ » ] Third: Functions of Head of committee
- Responsible of managing the committee and reports to the president all meetings and achievements.
- Organize work within the committee.
- Organize activities and working plan for committee as well as development plans.
- Secure committee’s needs.
- Distribute work to members and follow-up the development of work.
- Present regular reports to president about the achievements of his committee.
- Present a yearly report about the members of his committee.

[ » ] Explanation of some PTA authorities
- PTA (represented by the President and a member) attends Board of Trustees meetings twice a year to report PTA work and present PTA suggestions. (PTA members will withdraw from meeting as soon as PTA section is ended.
- PTA reserves the right of selecting the teachers and the students that would represent the different school divisions.
- PTA will send a copy of any decision taken to the Board of Trustees.
- The PTA reserves the right of contributing to any disciplinary committee to any student in school.
- PTA reserves the right of being consulted in case of studying and discussing any suggestion the school board considers implementing.
